How an account runs

Nine steps, and every one leaves a document behind

This is the whole operating cycle, from the first walkthrough to the monthly pack that lands in your inbox. Nothing here is aspirational. Each line names the artefact you receive.

Typical mobilisation

18business days from signed scope to first serviced night, including badging and background checks.

Account operating cycle

  1. Cleanable square footage measuredWe measure the area that actually gets cleaned, not the gross leasable area on your rent roll. Mechanical rooms, shafts and stacked storage come out of the number. At walkthroughMeasured area schedule by space type
  2. Scope of work written and signedA task frequency matrix per space type: what is done nightly, weekly, monthly, quarterly and annually, and what is explicitly excluded. Before startSigned SOW, 11 to 18 pages
  3. Staff badged, cleared and trainedBackground check, E-Verify, site specific orientation, and the OSHA training your space type requires before anyone is issued a badge. Before startRoster with training dates per technician
  4. Chemistry and equipment staged on siteDilution controlled dispensers, colour coded microfibre, and a safety data sheet index for every product physically present in your building. Before startSDS binder and digital index

  6. Touch points disinfected to label contact timeThe disinfectant stays visibly wet for the full dwell time printed on its master label. If it dries early, it is reapplied.Daily roundsProduct, dilution and wet contact time logged
  7. Inspection walked and scoredA supervisor scores a weighted 100 point walkthrough. Your account manager scores an independent one monthly. Photographs attach to every finding.Weekly and monthlyScored report with photographs
  8. Corrective action raised and closedAny finding below the threshold becomes a numbered corrective action with an owner and a due date. Nothing closes without a photograph.Within 24 hoursCorrective action log, open and closed

Quality assurance

A score, a photograph, and a due date

An inspection that produces a smiley face is not an inspection. Ours produces a weighted number out of 100, a photograph attached to every finding, and a corrective action with an owner and a deadline.

Weighted inspection categories, 100 point scale
CategoryWeightThreshold
Restrooms2590 or above
Floors, hard and carpet2088 or above
High touch points2092 or above
Entrances, lobby and glass1590 or above
Waste and recycling1090 or above
Detail and high dust1085 or above

Any category below its threshold opens a corrective action, regardless of the overall score. A building can pass at 93 and still owe you a restroom.

Coverage

Chicago and five collar counties

Crews are dispatched from Fulton Market and two satellite yards. Every account sits inside a 45 minute drive of a supervisor at 2am, which is the only coverage promise that means anything.

Questions

What procurement asks us first

If your question is not here, the answer is on thefull FAQ or one phone call away.

How do you price a commercial janitorial contract?

On cleanable square feet, scope and frequency. We measure the area that is actually serviced, apply productivity rates for each space type, add supervision, consumables, floor care and equipment, then price the labour at a fully burdened W-2 rate. A 40,000 sq ft standard office floor is a very different number from 40,000 sq ft of exam rooms, and any vendor quoting you from a rent roll has not been in the building.

Are your cleaners employees or subcontractors?

Every person who enters your building is a W-2 employee of Meridian Facility Services, on our payroll, under our workers compensation policy, background checked and E-Verified by us. We do not subcontract janitorial labour. Specialty trades that fall outside our licence, such as exterior high rise window work, are named in the scope and disclosed before the contract is signed.

What is ISSA CIMS certification and does it matter?

CIMS is the ISSA Cleaning Industry Management Standard. An accredited assessor visits and audits six management dimensions: quality systems, service delivery, human resources, health safety and environmental stewardship, management commitment, and green building. It is a management audit rather than a cleaning test, which is exactly why it matters to a procurement panel. It tells you the company can repeat what it did last month.

How do you prove that disinfection actually happened?

By logging the product, the dilution and the wet contact time, not by logging that someone sprayed something. Every disinfectant on your site is EPA registered for the pathogen claim we are making, the technician is trained on that specific label, and the surface is kept visibly wet for the full dwell time. If it dries before the time is up, the label is not satisfied and the product is reapplied.

What happens when something goes wrong at 2am?

After hours dispatch is answered by a person, not a queue. For contracted accounts we mobilise for a contamination event, a flood or a security escort within the response window in your SLA. Anything that happens on shift is written up before the crew leaves the building, so your Monday morning is not the first you hear of it.

Can you take over an account mid contract?

Yes, and it is more common than a greenfield start. We run the walkthrough, write the scope against what the building actually needs rather than what the outgoing contract said, and overlap for the first three to five nights so nothing is dropped. Transitions are usually scheduled for a Friday so the first full week is a clean baseline.
